How do I choose a good password?

Think of it as a specialized license plate, with a mandatory 6 characters. It should be easy to remember but hard to guess. Read the following tips, but don't use any examples given below. (Since they're listed here, they've been removed from use.)

Tips for a good password Examples
Use the first letters of a phrase you like or an obscure line from a favorite song, book, movie, or poem.

Add in a number, punctuation mark, or uppercase letter.

Replace words with numbers or letters (be=B, to=2, too=2, for=4, are=R, see=C, you=U, why=Y).

Use punctuation marks.
These can add emphasis to a phrase you've chosen. You can use any of the basic punctuation marks on a keyboard:

      ! @ # $ % ^ & * ( ) _ + - = { } | [ ] \ : " ; ' < > ? , . /

Things you shouldn't use for passwords

Do NOT use any of the following:
  • Personal numbers or codes (age, phone number, postal address, date of birth, driver's license, SSN).
Those numbers are more public than you think, especially with search engines and the Web.
  • Any known information about you, such as parts of your name, address,
pet names, friends' names, family names, hobbies, or favorites.
  • Well-known phrases like "tgif" (Thank God It's Friday) or "2brnot2b" (to be or not to be).
  • Obvious number sequences such as "123456" or "8765432".

How can I change my email password?

  • Phone 336-517-2236.
  • Contact the IT Help Desk

I have not been able to send/receive emails, what's the deal?

No, your account is not disabled.  More than likely your Outlook is "Offline" (i.e. Outlook thinks it cannot connect to the server).  This can happen if you press "Cancel" when prompted for your password as Outlook launches, or if network or server problems occur.  To switch back to "Online" mode, left click the word Offline at the bottom right of the Outlook window and un-select Work Offline. Outlook will now try to re-connect to the mail server.  Another way to switch back to Online mode is to go to the File Menu and un-select Work Offline.

What do I do if I receive strange or inappropriate E-mail?

The message might have originated from a virus or from someone intent on perpetuating a scam.  The safe choice is usually to delete anything that comes from someone you do not recognize or that seems offensive, but it is up to the user to decide.

How can faculty keep in contact with their students via E-mail?

The easiest way is to create a distribution list for each class.  At this time the way to do this is via the Outlook Address Book.  Click here for instructions.

How can I reduce the amount of unwanted or offensive E-mail that is sent to me?

Unsolicited E-mail, called SPAM, is a major problem everywhere.  There are two things that can be done.  The first is to be careful where your E-mail address is being used.  Spammers harvest E-mail addresses from unscrupulous vendors, discussion groups, web servers, and other places; so if your E-mail address doesn’t appear in public you reduce your exposure to SPAM.  However it is not possible to completely prevent it.  The second solution is to engage in filtering.  Microsoft Outlook has some reasonable filters pre-defined that will block many sales pitches and obscene materials.

Are there any guidelines or etiquette regarding the use of E-mail?

Yes.  In general:

My Outlook mailbox is full, how do I free up space?

Members of staff are allocated 150mb for their Exchange Mailbox. (To check the size of your mailbox, see the instructions at the end of the page).

It can quickly fill up if you do not manage your emails, especially if you are sending or receiving large attachments. If your mailbox is getting full you will be sent an email message to tell you that your mailbox is approaching the quota. If you do not reduce the size of your mailbox, you will be unable to send email, and you'll receive an email headed "Your mailbox is over its size limit".

What to do if your mailbox is full

  1. Reduce the size of your mailbox

Your mailbox is not only your Inbox, but includes all the folders listed under your name.

  1. Send a test message

Send a test email to yourself. If you receive your test message and don't get the message saying that your mailbox is full, then this has resolved your problem.

  1. Set up Personal Folders

If you need to keep some emails, you can set up personal folders for storing them. Note: these are located on your PC, so you can't access them from any other computer or via online Bellesmail.

Still think you need more space?

Mail messages for faculty and staff are held on the central Exchange servers managed by IT Services. Storage space is not infinite so in order to keep costs down and to simplify administration, a standard quota is applied to all staff. This has been set at a level which is enough for the majority of staff, provided they manage their mailbox as outlined on our web pages.

If the nature of your work frequently requires you to access large volumes of email/attachments on-line and from different locations, you should consider using a laptop instead of a desktop PC. The advantage of a laptop is that you can carry your Personal Folders around with you, so you always have access to the information you need. IT Services will be happy to provide further advice, but you should discuss this with your line manager in the first instance.

In exceptional circumstances, if the quota is not considered sufficient for an individual to carry out their job effectively, an increase may be requested.

Any request for an increased quota must come from the department chair or department manager. This must confirm that, as part of their job, the member of staff in question has to be able to access large volumes of emails on-line from two or more separate locations. It should also indicate why this cannot be achieved by use of Outlook Personal Folders and/or a laptop.

The request must be made in writing to IT Services. Any increase in limit, as well as the duration of the arrangement will be at the discretion of IT Services.
